The Professional Role

Lock the AI into a specific workplace role with strict tone and audience rules.

Why this matters

The same message can sound kind or cold. Giving the AI a role and an audience helps it write the way a good professional would.

A Role Sets the Tone

Without a role, the AI gives a general, chatty answer. A clear job title, like "Customer Relations Lead", sharpens its words and viewpoint.

In real life: Ask a doctor and a mechanic about "a knock in the chest" and you get very different answers. The job title tells the AI which expert to be.

Say Who Will Read It

Tell the AI who it is writing for, such as "a busy customer" or "a manager who is not technical". It will adjust how simple it sounds.

In real life: Say who will read the message, such as 'a frustrated customer'. The AI then adjusts how simple or formal it sounds.

Set Clear Tone Rules

Describe the voice you want: "Be calm, kind, and direct. Do not flatter or use fancy business words."

In real life: Describe the voice you want, for example 'warm but firm' and 'no flattery or jargon'. Clear tone rules give steady results.

Your practice task

Act as an experienced Senior Customer Relations Lead. Rewrite the blunt rejection note below for a frustrated customer. Be empathetic yet firm, state the policy reason clearly, offer the standard store credit, and avoid apologizing or using robotic jargon.

How to do it

  1. Read the customer claim above.
  2. Start by giving the AI a job title, such as Senior Customer Relations Lead.
  3. Say the 30-day refund rule and offer the store credit.
  4. Tell it the tone and what not to do (no apologizing). Press Run proof.

Practice it for free in the app. You get instant checks that show what you got right and what to fix. A lesson takes about two minutes and you can try as many times as you like.

Quick reference: Professional Persona Frame

Locks the AI into a consistent voice across customer and team communications.

You are a [JOB TITLE] speaking to [AUDIENCE].
Tone: [ADJECTIVES: e.g. direct, supportive, objective].
Boundaries: Do not apologize, exaggerate, or use filler phrases.
